Refund & Cancellation Policy

This Refund Policy explains when and how refunds or credits may be issued for B2B data products and Services purchased from BuyDatabase Online.

1. General Policy Statement

BuyDatabase Online is a B2B data provider delivering digital data products and services that become accessible or downloadable immediately upon delivery. Because data, once delivered, cannot be “returned”, our refund and cancellation policy is more limited than for physical goods.

We aim to work fairly with our clients and may consider partial credits or replacement data in specific circumstances, as outlined below.

2. Eligibility for Refunds or Credits

Refunds or credits may be considered in the following situations, subject to our verification and sole discretion:

  • Technical delivery issues: You made payment successfully but did not receive any data file or access due to a verified technical error on our side.
  • Duplicate payment: The same Order was accidentally paid for more than once and no additional data or services were consumed against the extra payment.
  • Material deviation from agreed filters: A significant portion of the delivered data clearly does not match the core filters and verticals agreed in writing (for example, wrong country, completely different vertical), and this issue is reported within the timeline specified below.

2.1 Non-Eligibility Cases

As a general rule, we do not offer refunds or credits in the following scenarios:

  • Results or conversion rates not meeting your expectations, as campaign performance depends on your strategy, offer, and execution.
  • You changed your mind about the purchase after data has already been delivered or accessed.
  • You no longer require the data or Services for internal reasons (budget, team, or strategy changes).
  • Minor inaccuracies, outdated records, or hard bounces within an industry-acceptable tolerance range for B2B data.
  • Misuse of the data or failure to comply with applicable laws and regulations.

3. Cancellation Process

Before Delivery: If you wish to cancel an Order that has not yet been processed or delivered, contact us as soon as possible at support@buydatabase.online. Where feasible, we may cancel the Order and issue a refund or credit.

After Delivery: Once data has been delivered, Orders typically cannot be cancelled. In cases of verifiable technical errors or material mismatch with agreed filters, we may, at our discretion, offer a partial refund, replacement data, or credit for a future Order.

4. Reporting Issues & Assessment

To request a refund, replacement, or credit, you must contact us within 7 calendar days from the date of data delivery and provide:

  • Your company name and contact details;
  • Invoice or Order reference number;
  • A clear description of the issue (for example, sample rows, mismatch in filters, or delivery problem);
  • Any supporting evidence (for example, bounce statistics, logs, or screenshots).

Our team will review your request, investigate the issue, and may ask for additional information. After assessment, we will inform you about one of the following outcomes:

  • No refund or credit, with a brief explanation;
  • Partial refund or partial credit for future Orders;
  • Replacement data files aligned with the agreed specifications.

5. Refund Method & Timeline

If a refund is approved, we will generally process it using the same payment method used for the original transaction, unless otherwise agreed. Processing times may vary depending on your payment provider or bank.

  • Refund initiation by us typically occurs within 7–10 business days after approval of your request.
  • Your bank or payment provider may require additional time to post the credit to your account.

6. Exceptions & Custom Agreements

For certain larger, custom, or subscription-based engagements, additional commercial terms may be documented in a separate agreement or order form. In case of any conflict between such an agreement and this Refund Policy, the specific written agreement will prevail for that engagement.

7. Chargebacks

If you initiate a chargeback without first attempting to work with us to resolve a legitimate issue, we reserve the right to:

  • Provide evidence to dispute the chargeback with your payment provider;
  • Disable or restrict further access to our Services;
  • Refuse future Orders at our discretion.
